Presidents Bulletin Notes 14th May 2022
 
This Week
 
Back to the town hall this week for our annual BookaRama event which is now up and running. Our pack-in went extremely well with over 30 in attendance assisting Ray and his team with tables, books, CD’s, LPs, and a host of other items into the hall.
 
It is heartening to see the dedication by all in running this event, it’s a significant commitment and I personally wish to thank everyone for your participation.
 
Urban Miners and Shelter Box both have displays at the town hall this year, aided by a Ukraine appeal which seems well received and supported by the public. A special thanks to our International Committee, Mike Cahill and Claire from Shelter Box for their support and assistance during this event.
 
Next Week
 
Next Wednesday 18th May we are hosted by Hamilton East Club at Ruakura Campus, should you require transport, we meet at Cambridge Cricket Pavilion 5pm -5.30pm for car-pooling. A reminder no rotary meeting Thu 19th May at CHS staff room. Further details on this event is listed below.

THIS WEEK'S NOTICES

Rotary Meeting Notes – Thursday 12th May 2022

 
Sergeant Ted opened the meeting at 6pm. Ted welcomed our guest Nigel and talked about this day in history and talked about the Germanys invasion of Belgium in May 1940.
 
President Ian gave his address to the Club.
 
We started Committee meetings.
 
International Committee Update - Greg Gascoigne. The shelter box display outside Bookarama has raised so far just shy of $500 which the Club were extremely appreciative about. He mentioned also that they are underway with a grant application to help out with Days for Girls.
 
Club Services Committee Update – David Partis
  • Rotary apparel order has been placed, waiting on confirmation from Image Apparel and date of completion of filling the order
  • Number Plate Theft Prevention day confirmed for Saturday 21st May. This is the weekend that District Conference was supposed to be on but was cancelled due to Covid.
    • In conjunction with the Community Patrol
    • Located on Cambridge Market Day around the Market, both sides of Victoria Street
    • Police have enough screws and fixing tools and we are to charge $5
    • Coordinating this with Bill who is still in Sydney at the moment
  • Race to Raise funds on the table for the latter part of the year
  • Adventure Club held a committee meeting during the week and have plans to present in June to the Club about plans for the year.
Vocational Committee Update – Bev Maul-Rogers.
  • Apprenticeship Scheme – 28 building companies have been contacted and 1 application has been received to date. 4 apprentices will be chosen and the successful applicants will come to our Rotary meeting on the 23rd June and talk to us about what they will spend the grant for in terms of their apprenticeship.
  • Bev talked about the Interclub visit to Hamilton East on Wednesday 18th May. Please note meal cost is $25 per person which will be charged to your account
  • 25 members are going. 
Details of the visit are as follows:  
  • 5.00pm Meet by the Cricket Pavilion, cnr Dick and Queen Streets. We will be car pooling. 
  • 5.45pm Hamilton East Rotary meeting commences with mix and mingle
  • 8.35pm Meeting concludes and return to Cambridge.
Further Vocational Visits:
  • APL visit is planned for late spring. 60-90 minute tour.
Community Committee Update – Nigel Salter
  • Plaque has been completed for the new park bench out at Lake Karapiro. Laurie now has the plaque and will plan on a ceremony and involve all concerned parties.
  • May 26th will be Club night at the Cricket Club run by the Community Committee.
    • Chris & Hilary Smiley will be the guest speaker
    • Catered for by the Cricket Club
    • BYO licencing
  • Blood Bank – 28th June coming up.
  • Marshalling for Cambridge Races back on the table again, starting next week
Youth & New Generation – Alan Van Niekerk
  • RYPEN went ahead, sponsoring 4 students from Cambridge High School.
  • Secondary Schools debate, still on the table. Kim Prichard helping out with generating interest for this.
  • Primary Schools debate to go ahead in September
  • Urban Miners – recognition for community volunteers, offering some sort of recognition and thank you at a Rotary night.
  • Tamahere Market – selling of recycled Urban Miners items going quite well.
  • Hands up for Help – involvement of a Cambridge High School group putting together care packages for foster children. Cost is $70 each and an idea the committee had was to have an auction evening at Rotary one night and we all bring along something and auction this off.
 
Rollo updated the club about the Urban Miners trailer sponsorship.
  • 4 out of 6 slots sold already, 2 available
  • $400 each and the term is 5 years
  • Kaz Design does the artwork for the trailer
Bev Heron provided us an update
  • Bank issues – frustrations over ATM machines and errors.
  • Someone called Campus RJ has put money in our account but we are not sure who and why
Carey Church gave us an update about U3A and what is coming up.
 
Gretchen gave us an update that her daughter has been successful with securing a boarding opportunity at a school in Paris. This was through Rotary contacts. Everyone was pleased and wished Gretchen well for the plans of sending her daughter to Paris.
 
Our Rotary World – Nigel Salter
Nigel updated us on the success of the Rotary programme to eradicate Polio. There are still some hotspots left in Pakistan and Afghanistan. Nigel showed us a video on how the Oral Polio Vaccine was being administered in hotspots around the world and that there was 759 cases reported in 2020 and the eradication was underway but the fight was still on.
 
President Ian closed the meeting at 7:45pm.

GUEST SPEAKERS:           Chris and Hilary Smiley will give us an insight to their epic cycle journey from Auckland to Bluff
 
ATTENDANCE:                  If you are not attending, please register your apology in the normal manner.
Guests are welcome, but you must advise the Club by way of the Rotary phone by close of business Tuesday 24 May if you are bringing a guest(s) – the same way you register apologies.

"Having seen an article on One News about combating car theft I thought this could be done as a project for the Rotary Extravaganza weekend.
The day would involve the Community patrol group and ourselves replacing the number plate screws on your car with Tamper Proof screws. Apparently they need a special screw tip to remove, and the idea is to slow the would-be thieves down but not completely stop. We have the support of Constable Deb Thurgood.
This has been done before but not in my time here in Cambridge that I can recall.
We are planning this to be done somewhere around Victoria Square on Saturday 21st May so those that a keen to help contact David Partis"

I'VE BEEN ROSTERED A DUTY- WHAT DO I DO?

 
 
 
 
Club Meetings 
Attendance Duty
Time:
5.20pm in time to welcome people as they arrive at venue – currently at Cambridge High Staff room
 
 
Duty:
Welcome members and visitors alike.
 
 
How:
Record attendance and apologies on attendance sheet.
Complete name cards for all visitors to wear and record names.
Record make ups and receive attendance cards.
Provide attendance cards to visiting Rotarians. Charge $23.50 for meal unless guest of a member.
Encourage members to buy raffle tickets.
Give President list of all visitors including member’s partners and visiting Rotarians. 
Prepare summary of attendance numbers.
Hand attendance sheet to treasurer for charging of meals.
 
 
Materials:
 
Members Badges stored in cupboard meeting venue.
Raffle tickets and cash box stored in cupboard. Key to cupboard in top left pigeon hole at rear of staff room.
Attendance sheet received from attendance officer any time after midday on Wednesday. 
 
 
 
 
Welcome Duty
Time:
5.20pm in time to welcome people as they arrive.
 
 
Duty:
Welcome members and visitors alike.
 
 
How:
Stand by the entrance and greet everyone as they arrive (a great way to learn members’ names).
Introduce any visitor to the President if possible (he/she may be otherwise engaged).
Introduce the speaker to the person rostered to introduce them later in the evening. You will need to know who the speaker is and who is introducing them.
Introduce other visitors to one or more members and ask them to host the visitor for the evening.
 
 
Materials:
A handshake and a welcoming smile.
 
 
 
 
Equipment Duty 
Time:
5.15pm in time to set up before regular meeting.
Plus after the close of the meeting
 
 
Duty:
Set up attendance table.
  
How:
Place name badges so members can recover them as they arrive.
Arrange placemats on each table. Put out plates, utensils, etc on end of bench to left of servery.
Set up lectern and join 2 tables to create a top table. Data projector turned on by remote in draw and HDMI cable ready for speaker’s computer.
Place sergeant’s paraphernalia on top table (shrapnel box, fines box, raffle numbers, bell and hammer). Microphone to be placed by lectern.
Turn on sound system in right cupboard, turn on 3 power switches.
Place Presidents paraphernalia on top table (chain of office).
Place blind banner by top table behind lectern.
After the meeting return all equipment, including name badge box where you found it in cupboard. Venue should be left as it was found.

Turn as many lights off as possible, turn off heating.
Locking up:
Last one out lock bollards and shut outside door
 
 
Bar Duty
Time:
5-5.15pm in time to assist with set up before regular meeting.
 
 
Duty:
Set up bar - sell drinks - clear up afterwards. 
 
 
How:
Key to Bar fridge is in top left pigeon hole.
Glassware in cupboards out back by pigeon holes, only in right cupboard.
Display name of Duty Manager and licence
Serve at bar before meeting from 5.30pm.
Serve members after business sessions and before meal.
Place empty bottles in recycling bins.
Return unused and part used bottles to fridge. Reds to cupboard out back
 
 
Materials:
 
Glassware (wineglasses) 
Locking up:
Return any unused drinks to fridge or cupboard and lock fridge.
 
 
 
Speaker Introduction
Time:
Before meeting.
 
 
Duty:
Welcome speaker - introduce to President and Club.
 
 
How:
Be in time to welcome the evening's speaker.
Introduce to President.
Ensure they are set up for any PowerPoint presentation they have with them - ask if they have a USB to use (IT duty person will take over setting up IT equipment).
Confirm that talk should be about 20 minutes with 10 minutes for questions.
Provide with drink from bar (Club pays for this).
Help guest socialise with members once set up.
Sit with guest for the meeting at the top table.
Introduce the speaker to the club with brevity.
If you have looked them up on Dr Google before the meeting make sure you have the right person.

After Speaker
 
 
Duty:
Thank speaker and present with small token of appreciation (if there is one).
 
 
How:
Obtain thank you gift from Sergeant.
Thanks should be extremely brief and ask the club to show its appreciation.
 
 
 
Our Rotary World
Time:
During Meeting 
 
 
Duty:
A short speech or presentation with a focus on a Rotary Subject - particularly District or International
5-6 Minutes on how Rotary contributes outside of out immediate club which our club members may not know about.  – RI website is good place to go for research. (Happy for you to include a Power Point of short Video if needed). Club president happy to assist and advise as needed.
 
 
How:
The topic may be requested from the president. If technology is needed it is important this is arranged and setup prior to meeting.
 
 
 
Kitchen Duty
Time:
Follows regular meeting.
 
 
Duty:
Wash and dry bar glassware.
 
 
How:
Tables should clear glassware into kitchen.
Clear tables of crockery so caterer can wash.
Hand wash glasses and packed into boxes and return to back cupboard.
  
Materials:
Provided in kitchen
  
Locking up:
Leave with those on equipment
