FROM PRESIDENT IAN

Presidents Notes

We are already into November and a strong turnout on-line last week for our fortnightly catch up. Thanks to those that joined in for a general chit-chat and sharing thoughts on next year’s activities.
 
More event cancelations this year I’m afraid – Carey and the Garden Festival Committee had the unfortunate circumstance (after last Mondays cabinet announcement) the realization that we could not commit to the scheduled timeline. There were several alternate dates, but again without certainty on a change back into Level 2 or similar, we were left with no alternative other than to cancel.
This news obviously devastating to Carey, her team, the gardeners, the recipients and all other suppliers and supporters to this event. I will be writing to all the above, this on behalf of you all, to show support and thank everyone on behalf of Cambridge Rotary,
 
So, you may be asking what’s left for 2022 (well not a lot to be honest). Director Bronwen is currently arranging a Polio Movie Event at the Tivoli Cinema here in Cambridge, and all going well Bronwen will confirm a date for this in early December. Should this event go ahead we will invite several local rotary clubs to this event. Details on the Movie – The Duke 
 
A number have asked me Rotary’s policy on COVID Vaccination. Glad to say its reasonably simple and I ask you to follow District 9930 official guidelines given below.
•             Adhere to the Government restrictions relating to each lockdown Level.
•             Liaise with your venue and catering management as to their requirements.
•             There are no mandates or policies set down by Rotary District 9930 as to any requirements.
•             However, Rotary Clubs cannot request, demand, or otherwise seek information from members as to whether they are vaccinated or not.  This is akin to asking them if they are vaccinated for measles, the flu, hepatitis, and other diseases.
 
John Bishop is hoping to be able to share details on this year’s Club Christmas Party which is proposed to be held at Liz and Ian’s property. Proposed date being Thursday 9th December subject to Covid regulations at the time. Fingers and toes crossed we manage this one before we break for the year.
 
Have a great week everyone and thanks to Ken Leatham and all those that assisted in the firewood cutting today. It was wonderful to catch up face to face.

2021 SO FAR...
2021 has been another big year at Kids in Need Waikato. We have put together 721 packs (as at end of October) and are coming into our busiest time of year with Christmas fast approaching.
 
The August-September Lockdown was a difficult time for many families. As an essential service we were still able to put together and deliver emergency care packs for children.
 
We have also expanded our team with 2 part-time employees coming on-board. Carley Fisher joins us as the Operations Coordinator, making sure the Kids in Need shed, volunteers and care pack processes are all running smoothly. Rebecca Broadbent joins us as the Administrator for Kids in Need, supporting Carley, Linda and the team with the day-to-day running of the office, accounts and website.
 
We have implemented a new referral process which means we can collect all of the information we need in one place. We also hope this process makes it easier for those referring children to Kids in Need Waikato.
 
Linda continues to spread the word about our services through regular meetings in the community as well as providing ongoing support for carers. Since bringing on new team members, Linda has more time to dedicate to being out in the community raising awareness for Kids in Need Waikato and the children and carers we support.
 
We are excited to spread some Christmas magic again this year. Starting nice and early we are hoping to get ahead of potential disruptions caused by Covid-19 - we have drop-off points around the Waikato and an online Christmas shop where donations can go towards specific gifts.
 
 
AUGUST LOCKDOWN
While we had a feeling it was inevitable, the August Level 4 Lockdown was still a shock. During this time, we were still able to put together and deliver packs for children in the Waikato region.
 
In addition to the regular items we put into our packs, we were also able to include extra stationery and activity books to help these children and those caring for them during lockdown.
 
Unfortunately it was clear that many of these families - who were already struggling - were finding this lockdown the most difficult.
 
Providing warm clothes, bedding and toys for these children removed some of the burden these families are experiencing.
 
 
MEET THE TEAM
Over the last few months we have expanded our Kids in Need team to work alongside Linda and Graeme Roil and the Board of Trustees.
 
Carley Fisher joins us as our Operations Coordinator and Rebecca Broadbent as our Administrator. Along with our awesome team of volunteers things are humming along at Kids in Need HQ.
 
 
OUR AMAZING VOLUNTEERS
We are so lucky to have an amazing team of volunteers who regularly give their time to help us in the Kids in Need Shed.
 
One of the main jobs is sorting all of the donations we receive. From clothes, shoes and toys to toiletries, our volunteers spend hours going through each donation, making sure they are up to our high standard and then adding them to the correct area in the Shed. Our volunteers also put together packs, hand-picking each item and outfit, making sure that the items match the needs of each individual child. We really couldn't do it without them!

CHRISTMAS CAMPAIGN 2021
Christmas is a tough time for families who are already struggling. Our Christmas campaign has launched and we are collecting gifts to give to children who are in the care of someone other than their parents.
 
There are 3 ways to help:
 
Head to our Online Christmas Shop to donate towards a Christmas gift
Drop off unwrapped gifts at one of our drop-off points (drop off any new gift OR fulfill a "wish" that will be under the tree or on our Facebook page)
Donate directly via our website or directly to our bank account with the reference: XMAS 2021.

NEW REFERRAL PROCESS
We have recently introduced a new online referral process to ensure we collect all of the information we need in one place. Social workers and social services can now fill in an online form when referring children and families for a personalised care pack.

Rotary meeting notes 4 November 2021
 
28 members joined the Zoom meeting for our regular Rotary fortnightly meeting.
 
Bill Robinson offered to open the meeting with a video entitled “I can’t call Australia Home” which unfortunately wasn’t able to be viewed successfully. Check it out-it is both funny and quite sobering.
 
Sergeant Ted got proceedings underway with some historical information, claiming a family connection to English royalty some 9 generations ago. This day in 1918 Austria signed the Armistice ending WW1, 1922 US postmaster general ordered citizens to erect post boxes, 1956 the Russians attacked Budapest, 1995 the Israeli PM Rabin was assassinated in Beirut.
 
President Ian then welcomed us.
He mentioned that due to no guest speaker there would be an open forum for members to speak. His wondering was how are things different in Level 3, Stage 2 and this generated some discussion on local and world current events.
 
There has been a significant impact on planned Rotary events in the latter part of the year, but President Ian urged that we remain positive and look forward to what is possible next year.
 
Notices:
Nigel Salter-Christmas Shoe Box Parade. As you are all aware, the Christmas Parade has been cancelled. Rather than throw in the towel, the Parade committee led by Miff Macdiarmid has launched a shoebox float parade/competition to help keep the Christmas spirit alive in our community.  Whilst we as a Club cannot contribute in the same tangible way as we did in marshalling the Parade last year, members are encouraged to help boost this initiative any way they can by spreading the news – for example, share the Parade Committee’s recent post from:
 
 The Parade Committee is considering a range of other ideas, and we may well be called upon to assist in some of those projects.
 
President Ian-movie night. Hopefully a fundraiser for Polio featuring a movie “The Duke” will go ahead at the Tivoli. More details to come.
 
John Bullick-Adventure Club. A cycle ride is planned locally on Saturday morning with a good group of members and guests participating.
 
Ken Leatham-Firewood. A working bee is planned for Saturday morning at David and Anne Blewden’s place.
  
  
Bev Maul-Rogers-Xmas Puddings. Orders for the puddings has been submitted. They will be delivered to Bev’s place and can be picked up from there.
 
David Blewden-Adventure Club. A reminder that the next planned event is the picnic at the Karapiro Domain on Saturday 4 December. Meet at the Avantidrome and cycle out to Karapiro to enjoy a BYO picnic. Non cyclists are welcome to join in.
 
President Ian asked for ideas for future fundraising and fellowship.
 
Ideas that came forward were:
Farm Machinery auction, Kite Day, President’s breakfast, Visits to/from Birkenhead and Greenmeadows Rotary Clubs, Liaising with Cambridge Lions around the sale of computers, laptops, cell phones (separate project to Urban Miners), Race to Raise funds, Club visits to Hamilton East, Matamata and Te Awamutu, Vocational visits to APL and Takapoto.
 
Bev Heron gave an update on the Garden Festival finances. While around $5500 of reimbursements have been paid out to date, there is likely to be no financial loss. Sponsorship covered expenses.
 
President Ian closed the meeting at 6.20.

I'VE BEEN ROSTERED A DUTY- WHAT DO I DO?

 
 
 
 
Club Meetings 
Attendance Duty
Time:
5.20pm in time to welcome people as they arrive at venue – currently at Cambridge High Staff room
 
 
Duty:
Welcome members and visitors alike.
 
 
How:
Record attendance and apologies on attendance sheet.
Complete name cards for all visitors to wear and record names.
Record make ups and receive attendance cards.
Provide attendance cards to visiting Rotarians. Charge $23.50 for meal unless guest of a member.
Encourage members to buy raffle tickets.
Give President list of all visitors including member’s partners and visiting Rotarians. 
Prepare summary of attendance numbers.
Hand attendance sheet to treasurer for charging of meals.
 
 
Materials:
 
Members Badges stored in cupboard meeting venue.
Raffle tickets and cash box stored in cupboard. Key to cupboard in top left pigeon hole at rear of staff room.
Attendance sheet received from attendance officer any time after midday on Wednesday. 
 
 
 
 
Welcome Duty
Time:
5.20pm in time to welcome people as they arrive.
 
 
Duty:
Welcome members and visitors alike.
 
 
How:
Stand by the entrance and greet everyone as they arrive (a great way to learn members’ names).
Introduce any visitor to the President if possible (he/she may be otherwise engaged).
Introduce the speaker to the person rostered to introduce them later in the evening. You will need to know who the speaker is and who is introducing them.
Introduce other visitors to one or more members and ask them to host the visitor for the evening.
 
 
Materials:
A handshake and a welcoming smile.
 
 
 
 
Equipment Duty 
Time:
5.15pm in time to set up before regular meeting.
Plus after the close of the meeting
 
 
Duty:
Set up attendance table.
  
How:
Place name badges so members can recover them as they arrive.
Arrange placemats on each table. Put out plates, utensils, etc on end of bench to left of servery.
Set up lectern and join 2 tables to create a top table. Data projector turned on by remote in draw and HDMI cable ready for speaker’s computer.
Place sergeant’s paraphernalia on top table (shrapnel box, fines box, raffle numbers, bell and hammer). Microphone to be placed by lectern.
Turn on sound system in right cupboard, turn on 3 power switches.
Place Presidents paraphernalia on top table (chain of office).
Place blind banner by top table behind lectern.
After the meeting return all equipment, including name badge box where you found it in cupboard. Venue should be left as it was found.

Dinner plates, utensils
 
 
Turn as many lights off as possible, turn off heating.
Locking up:
Last one out lock bollards and shut outside door
 
 
Bar Duty
Time:
5-5.15pm in time to assist with set up before regular meeting.
 
 
Duty:
Set up bar - sell drinks - clear up afterwards. 
 
 
How:
Key to Bar fridge is in top left pigeon hole.
Glassware in cupboards out back by pigeon holes, only in right cupboard.
Display name of Duty Manager and licence
Serve at bar before meeting from 5.30pm.
Serve members after business sessions and before meal.
Place empty bottles in recycling bins.
Return unused and part used bottles to fridge. Reds to cupboard out back
 
 
Materials:
 
Glassware (wineglasses) 
Locking up:
Return any unused drinks to fridge or cupboard and lock fridge.
 
 
 
Speaker Introduction
Time:
Before meeting.
 
 
Duty:
Welcome speaker - introduce to President and Club.
 
 
How:
Be in time to welcome the evening's speaker.
Introduce to President.
Ensure they are set up for any PowerPoint presentation they have with them - ask if they have a USB to use (IT duty person will take over setting up IT equipment).
Confirm that talk should be about 20 minutes with 10 minutes for questions.
Provide with drink from bar (Club pays for this).
Help guest socialise with members once set up.
Sit with guest for the meeting at the top table.
Introduce the speaker to the club with brevity.
If you have looked them up on Dr Google before the meeting make sure you have the right person.
 
 
 
 
 
Thanking Speaker
Time:
After Speaker
 
 
Duty:
Thank speaker and present with small token of appreciation (if there is one).
 
 
How:
Obtain thank you gift from Sergeant.
Thanks should be extremely brief and ask the club to show its appreciation.
 
 
 
Our Rotary World
Time:
During Meeting 
 
 
Duty:
A short speech or presentation with a focus on a Rotary Subject - particularly District or International
5-6 Minutes on how Rotary contributes outside of out immediate club which our club members may not know about.  – RI website is good place to go for research. (Happy for you to include a Power Point of short Video if needed). Club president happy to assist and advise as needed.
 
 
How:
The topic may be requested from the president. If technology is needed it is important this is arranged and setup prior to meeting.
 
 
 
Kitchen Duty
Time:
Follows regular meeting.
 
 
Duty:
Wash and dry bar glassware.
 
 
How:
Tables should clear glassware into kitchen.
Clear tables of crockery so caterer can wash.
Hand wash glasses and packed into boxes and return to back cupboard.
  
Materials:
Provided in kitchen
  
Locking up:
Leave with those on equipment
