Presidents Notes 05th February 2022
 
Thanks to everyone who attended this week’s meeting, and to our guest speaker Geoff Bentley from the Repair Detective’s for his expect discussion and advice on data security.
 
Its was also a pleasure to see the return of Sarah Gordon, who I’m sure will share her latest achievements with us over the next few months.
 
Rotary International President-elect Jennifer Jones has announced next year’s rotary theme and wants members to imagine the possibilities in the change they can make to transform the world.
Jones, a member of the Rotary Club of Windsor-Roseland, Ontario, Canada, revealed the 2022-23 presidential theme, Imagine Rotary, as she urged people to dream big and harness their connections and the power of Rotary to turn those dreams into reality.
“Imagine, a world that deserves our best,” Jones told incoming district governors on 20 January, “where we get up each day knowing that we can make a difference.”
Jones, who will make history on 1 July by becoming Rotary’s first female president, gave a live online address to precede Rotary’s annual training event for district governors from around the world, the International Assembly. The assembly was rescheduled because of the COVID-19 pandemic and will now be held virtually 7-14 February.
Jones told the incoming governors about a chance she took when a member asked for assistance in getting a young peace activist out of Afghanistan during the U.S. troop withdrawal last year. At first unsure how she could help, she relied on “that certain Rotary magic” and contacted a former Rotary Peace Fellow she had met a few years earlier. Less than 24 hours later, the activist was on an evacuation list, and soon she was on her way to Europe.
 
 
Next week’s meeting our monthly Committee Meeting, this the first in several months, please do your very best to attend and support your club service directors in planning into 2022.
Only 2 weeks until our 75th celebrations at Te Awa ‘so far’ 93 in attendance. I’m really looking forward to this event and having an opportunity to rediscover our club’s history presented by our very own John Tarbutt.

Rotary Meeting Thursday 3rd February 2022

 
Meeting opened by Richard Johnstone at 6:05. Richard was stand in sergeant for Ted Mason
Richard updated us on ‘this day in history’ with all sorts of various events that happened.
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
Ian updated us and welcomed our guest Geoff Bentley. Ian also welcomed back Sarah as our guest and hopefully we will see more of her in time to come.
 
Ian announced Committee Meetings next Thursday night.
 
Ian handed over to David Blewden to introduce our guest speaker.
  • Tremendous asset to the Urban Miners team
  • Has started groups with community volunteers
  • Also calls himself a repair detector and educator
Geoff was brought up in the Waikato in the Eureka area not far from Cambridge. He moved to Wellington for a few years and got in to web development then moved overseas and was involved in the Stomp show.
Geoff returned to NZ after that and began a carpentry apprenticeship which he didn’t really like then back in to web development and then started a few initiatives locally in the Cambridge area.
In 2019 Geoff started a community workshop called Trash & Treasure Sundays which is a repair co-op and the mantra is to ‘recycle and re-use” and teach the younger generation how not to throw stuff away. He received local grants to fund this community group.
Geoff is a fully accredited professional development facilitator for the Ministry of Education and has done a lot of work with schools in Cambridge and the wider Waikato helping teach teachers to learn the fundamentals of the new Digital Technology curriculum.
Geoff gave us a few pointers about cellphone security and what to do to disable your device correctly before handing it in for recycling.
He advised us to:
  • Sign out of all online accounts, Google, Apple, Samsung etc
  • Set the phone to factory reset and this should clear all data on the phone
Ian thanked our guest speaker and gave him a small gift of our appreciation.
 
Bronwen Byers gave us a report of what the International Committee have been up to and their plans.
 
Bronwen talked about 2 options moving forward:
  1. Looking at finding a local group to work on a project with and work on an international focus project together
  2. Align with the Days for Girls team and collaborate on a film evening or social event to raise funds for an international project
Her committee meeting next week will look to brainstorm these 2 options above and look at which is the most viable option moving forward.
 
 
 
 
 
Doug Lang spoke to us about Rotary Foundation and the programme around donating regularly to the Foundation.
He talked about if the millions of Rotarians around the world donating annually approx. US$115 which enables Rotary to be the highest rated charity and 91% of the funds raised are put back in to the community.
 
Doug handed out some forms to members who may be interested in donating to the Foundation monthly.
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
Richard drew the raffle which was won by Richard Seabrook and Don Harris.
 
Notices
 
Doug Lang updated us about the Apprenticeship Scheme. We applied and was accepted for a District Grant and our club is to match the donation given to us by the District.
The funds are going towards starting a local apprenticeships scheme for funding tools and equipment for local apprentices.
 
Andrew Bateman is heading up the programme and John McCullogh a local builder is also part of the project team.
This could become an annual project.
John Bishop updated us about the 75th Celebration at Te Awa on the 17th Feb
So far 93 attendees forecast and we will hear more next week when John meets with Mandy at Te Awa to make sure the event is still going ahead due to possible Covid restrictions.
Andy Newman talked about the Tongariro Crossing walk coming up on the 26th/27th February.
 
Nigel Salter informed us the Heart Foundation collection has been cancelled due to Covid restrictions.

Zoom Ready Face to Face Meetings
From the 27th January we started our face to face meetings at the Cambridge High School.
For any of our members or guests that wish to zoom in to our meetings we hope to have a computer in the our meetings running our standard Rotary Zoom link as below.
If you are planning to join us via zoom please let David Partis or Bill Robinson know so we prepare to accept your attendance via zoom.

I'VE BEEN ROSTERED A DUTY- WHAT DO I DO?

 
 
 
 
Club Meetings 
Attendance Duty
Time:
5.20pm in time to welcome people as they arrive at venue – currently at Cambridge High Staff room
 
 
Duty:
Welcome members and visitors alike.
 
 
How:
Record attendance and apologies on attendance sheet.
Complete name cards for all visitors to wear and record names.
Record make ups and receive attendance cards.
Provide attendance cards to visiting Rotarians. Charge $23.50 for meal unless guest of a member.
Encourage members to buy raffle tickets.
Give President list of all visitors including member’s partners and visiting Rotarians. 
Prepare summary of attendance numbers.
Hand attendance sheet to treasurer for charging of meals.
 
 
Materials:
 
Members Badges stored in cupboard meeting venue.
Raffle tickets and cash box stored in cupboard. Key to cupboard in top left pigeon hole at rear of staff room.
Attendance sheet received from attendance officer any time after midday on Wednesday. 
 
 
 
 
Welcome Duty
Time:
5.20pm in time to welcome people as they arrive.
 
 
Duty:
Welcome members and visitors alike.
 
 
How:
Stand by the entrance and greet everyone as they arrive (a great way to learn members’ names).
Introduce any visitor to the President if possible (he/she may be otherwise engaged).
Introduce the speaker to the person rostered to introduce them later in the evening. You will need to know who the speaker is and who is introducing them.
Introduce other visitors to one or more members and ask them to host the visitor for the evening.
 
 
Materials:
A handshake and a welcoming smile.
 
 
 
 
Equipment Duty 
Time:
5.15pm in time to set up before regular meeting.
Plus after the close of the meeting
 
 
Duty:
Set up attendance table.
  
How:
Place name badges so members can recover them as they arrive.
Arrange placemats on each table. Put out plates, utensils, etc on end of bench to left of servery.
Set up lectern and join 2 tables to create a top table. Data projector turned on by remote in draw and HDMI cable ready for speaker’s computer.
Place sergeant’s paraphernalia on top table (shrapnel box, fines box, raffle numbers, bell and hammer). Microphone to be placed by lectern.
Turn on sound system in right cupboard, turn on 3 power switches.
Place Presidents paraphernalia on top table (chain of office).
Place blind banner by top table behind lectern.
After the meeting return all equipment, including name badge box where you found it in cupboard. Venue should be left as it was found.

Turn as many lights off as possible, turn off heating.
Locking up:
Last one out lock bollards and shut outside door
 
 
Bar Duty
Time:
5-5.15pm in time to assist with set up before regular meeting.
 
 
Duty:
Set up bar - sell drinks - clear up afterwards. 
 
 
How:
Key to Bar fridge is in top left pigeon hole.
Glassware in cupboards out back by pigeon holes, only in right cupboard.
Display name of Duty Manager and licence
Serve at bar before meeting from 5.30pm.
Serve members after business sessions and before meal.
Place empty bottles in recycling bins.
Return unused and part used bottles to fridge. Reds to cupboard out back
 
 
Materials:
 
Glassware (wineglasses) 
Locking up:
Return any unused drinks to fridge or cupboard and lock fridge.
 
 
 
Speaker Introduction
Time:
Before meeting.
 
 
Duty:
Welcome speaker - introduce to President and Club.
 
 
How:
Be in time to welcome the evening's speaker.
Introduce to President.
Ensure they are set up for any PowerPoint presentation they have with them - ask if they have a USB to use (IT duty person will take over setting up IT equipment).
Confirm that talk should be about 20 minutes with 10 minutes for questions.
Provide with drink from bar (Club pays for this).
Help guest socialise with members once set up.
Sit with guest for the meeting at the top table.
Introduce the speaker to the club with brevity.
If you have looked them up on Dr Google before the meeting make sure you have the right person.
 
 
 
 
 
Thanking Speaker
Time:
After Speaker
 
 
Duty:
Thank speaker and present with small token of appreciation (if there is one).
 
 
How:
Obtain thank you gift from Sergeant.
Thanks should be extremely brief and ask the club to show its appreciation.
 
 
 
Our Rotary World
Time:
During Meeting 
 
 
Duty:
A short speech or presentation with a focus on a Rotary Subject - particularly District or International
5-6 Minutes on how Rotary contributes outside of out immediate club which our club members may not know about.  – RI website is good place to go for research. (Happy for you to include a Power Point of short Video if needed). Club president happy to assist and advise as needed.
 
 
How:
The topic may be requested from the president. If technology is needed it is important this is arranged and setup prior to meeting.
 
 
 
Kitchen Duty
Time:
Follows regular meeting.
 
 
Duty:
Wash and dry bar glassware.
 
 
How:
Tables should clear glassware into kitchen.
Clear tables of crockery so caterer can wash.
Hand wash glasses and packed into boxes and return to back cupboard.
  
Materials:
Provided in kitchen
  
Locking up:
Leave with those on equipment
