Presidents Notes

A great presentation this week on the History of World Polio and an update on Give Every Child a Future. A big thank you to our guest speaker Michelle Tanner for an update on “what must remain” a primary focus for Rotary as we enter 2022.
 
I few important notices, these as in the notes below.
We had news from John Bishop on a further delay to our 75th Celebration. This is unfortunate, but necessary as we transit these uncertain times, and try to forecast impact of the current the Covid alert levels.
 
We are still go for our all-important Garden Festival, so can I please encourage you all to support Carey and her team moving forward into this 21st November event. You will see signage and marketing material erected and displayed in and around town. Let’s all get behind the festival team, inform and encourage ticket sales, for all to join us on a tour of 11 of the Most Beautiful Gardens in and around Cambridge.
 
Preparation is ongoing for the Cambridge Christmas Parade, Achievement House Christmas Party, and our very own end of year Rotary Christmas Function. News on these events over the next weeks, and again please support where you can.
 
Enjoy your long weekend everyone, a reminder of no formal Zoom next week; just a social catch up on-line for those who wish to catch up for chat.

THIS WEEK'S NOTICES

Rotary meeting notes 21/10/21
 
28 members joined the Zoom meeting for what was to be our first regular Rotary fortnightly meeting.
 
Sergeant Ted opened the meeting with some historical facts including Colonel Gaddafi’s assassination in 2011, President Richard Nixon’s resignation from office in 1973, Jackie Kennedy’s marriage to Aristotle Onassis in 1968. In keeping with the Scottish theme, Ted noted that the Shetlands were annexed by Scotland in 1472, and are still in the possession of Scotland due to an overdue dowry payment from some 600 years ago.
 
President Ian then welcomed us and passed on some comments:
  • Well, another 102 cases of COVID  (8 in Waikato) of covid highest day yet in NZ, so can’t see us back at CHS anytime this year if I’m being honest?
  • But the positive of a new baby Giraffe at CHC Zoo – no name yet so open to offers on that one. Its reportedly very load so something maybe like Blewdy the Giraffe.
  • And a new TV programme (and oh my goodness) the appropriately named Barkley Manor for dogs. I have never seen the likes of it – don’t get me wrong the animals and staff are wonderful but it’s the dog owners that are Barking Mad. If you have not seen it, I thoroughly recommend it.
  • A quick shout out to all those that assisted on last Saturday Super Vaccination Day, it was a great turn out in the morning, and tailed off in the afternoon – but going by vouchers issued (just under 50 13–18-year-olds in attendance). And that at only one of 5 available locations locally.
Notices:
 
Nigel Salter-Red Ribbon Appeal. We have been asked to provide assistance for the Appeal again this year. The Appeal is planned for Friday 29 October and Saturday 30 October but will only go ahead if we have returned to Level 1 or Level 2. We have been asked to fill the following rosters - 2 volunteers per shift
  Friday 29/10:  Mitre 10
                 10.00am - 12.00 noon
                  12.00 noon - 2.00pm
                  2.00pm - 4.00pm
 Saturday 30/10: The Warehouse
                 8.30am - 10.30am
                 10.30am - 12.30pm
Nigel reported that a good response had been received already, but if anyone else can help, please contact him. Note: now cancelled
 
Ray Milner-Bookarama. New date for this. Second week of May 2022. Town Hall booked.
 
Garden Festival. All go at this stage. Signs are out on the roadsides. Fliers deliveries will happen once at Level 2.
 
Andrew Bateman-Urban Miners. Last collection successful in Te Awamutu. Others planned subject to Alert Level.
 
John Bullick-Adventure Club. Next planned adventure is the Karangahake Cycle/Walk on November 6. This will go ahead if we are down to Level 2 (or 1). More details to come. Those wishing to register, click on the link on the right hand side of the bulletin and complete from there.
 
John Bishop-Rotary Cambridge 75th Celebration. Unfortunately the Celebration dinner has had to be postponed. A new date in February will be communicated in due course. Roger Gordon then informed members that the publication that he and his committee are working on would be delayed.
 
Thanks to Laurie Graham, Bill Wilson and David Partis for building a new seat at Flynn Cove which is just past the Karapiro Domain. It looks great and is comfortable to sit and relax on.
 
Michelle Tanner was then introduced as our guest speaker, after having been summoned from back paddock distractions.
Hailing from Rotary Matamata, Michelle is well known to Cambridge members as she has visited to speak to us in the past.
Her presentation gave us information about Rotary International’s role in polio eradication and the story so far, Polio and Pakistan: a personal perspective and Rotary Give Every Child A Future.
She shared slides and photos with us and answered questions from members. An informative and interesting presentation. Michelle is always passionate and knowledgeable about her work in this area. President Ian thanked Michelle on the club’s behalf.
President Ian then passed on more information for members. There will be no Zoom meeting next week-fellowship at the Good Union for those who wish to attend only if at Level 2.
 
Reminder on Level 3 and Level 2 meetings moving forward.
 
At Level 3
•             No Formal Zoom Club Meeting – just online catch up. At level 3 we will move to alternate meetings – one formal ,one social online until we return to level 2.
 
At Level 2
•             1st evening back level 2 most likely a fellowship evening not at CHS – we will not return to CHS until level 1. – the fellowship evening chance to catch up with friends, re-socialise. Most likely held in the covered outdoor area at Good Union or maybe an outdoor BBQ weather dependent.
 
At Level 1
•             Back to business as usual – although it is planned to slightly adjust weekly programme from the current 3 formal and one committee evening + 5th week vocational.
To:
•             2 formal – 1 committee and 1 fellowship (possibly dropping the 5th week vocational) and giving the 5th week as free time. Our vocational visit will still go ahead (as well as well as other interesting events) and will slot into that new fellowship evening most likely the last week of every month. This is proposed to be trialled after Christmas and will be communicated formally in the next few weeks.
 
President Ian closed the meeting a little after 6.30pm.

I'VE BEEN ROSTERED A DUTY- WHAT DO I DO?

 
 
 
 
Club Meetings 
Attendance Duty
Time:
5.20pm in time to welcome people as they arrive at venue – currently at Cambridge High Staff room
 
 
Duty:
Welcome members and visitors alike.
 
 
How:
Record attendance and apologies on attendance sheet.
Complete name cards for all visitors to wear and record names.
Record make ups and receive attendance cards.
Provide attendance cards to visiting Rotarians. Charge $23.50 for meal unless guest of a member.
Encourage members to buy raffle tickets.
Give President list of all visitors including member’s partners and visiting Rotarians. 
Prepare summary of attendance numbers.
Hand attendance sheet to treasurer for charging of meals.
 
 
Materials:
 
Members Badges stored in cupboard meeting venue.
Raffle tickets and cash box stored in cupboard. Key to cupboard in top left pigeon hole at rear of staff room.
Attendance sheet received from attendance officer any time after midday on Wednesday. 
 
 
 
 
Welcome Duty
Time:
5.20pm in time to welcome people as they arrive.
 
 
Duty:
Welcome members and visitors alike.
 
 
How:
Stand by the entrance and greet everyone as they arrive (a great way to learn members’ names).
Introduce any visitor to the President if possible (he/she may be otherwise engaged).
Introduce the speaker to the person rostered to introduce them later in the evening. You will need to know who the speaker is and who is introducing them.
Introduce other visitors to one or more members and ask them to host the visitor for the evening.
 
 
Materials:
A handshake and a welcoming smile.
 
 
 
 
Equipment Duty 
Time:
5.15pm in time to set up before regular meeting.
Plus after the close of the meeting
 
 
Duty:
Set up attendance table.
  
How:
Place name badges so members can recover them as they arrive.
Arrange placemats on each table. Put out plates, utensils, etc on end of bench to left of servery.
Set up lectern and join 2 tables to create a top table. Data projector turned on by remote in draw and HDMI cable ready for speaker’s computer.
Place sergeant’s paraphernalia on top table (shrapnel box, fines box, raffle numbers, bell and hammer). Microphone to be placed by lectern.
Turn on sound system in right cupboard, turn on 3 power switches.
Place Presidents paraphernalia on top table (chain of office).
Place blind banner by top table behind lectern.
After the meeting return all equipment, including name badge box where you found it in cupboard. Venue should be left as it was found.

Lectern
Placemats
Dinner plates, utensils
 
 
Turn as many lights off as possible, turn off heating.
Locking up:
Last one out lock bollards and shut outside door
 
 
Bar Duty
Time:
5-5.15pm in time to assist with set up before regular meeting.
 
 
Duty:
Set up bar - sell drinks - clear up afterwards. 
 
 
How:
Key to Bar fridge is in top left pigeon hole.
Glassware in cupboards out back by pigeon holes, only in right cupboard.
Display name of Duty Manager and licence
Serve at bar before meeting from 5.30pm.
Serve members after business sessions and before meal.
Place empty bottles in recycling bins.
Return unused and part used bottles to fridge. Reds to cupboard out back
 
 
Materials:
 
Glassware (wineglasses) 
Locking up:
Return any unused drinks to fridge or cupboard and lock fridge.
 
 
 
Speaker Introduction
Time:
Before meeting.
 
 
Duty:
Welcome speaker - introduce to President and Club.
 
 
How:
Be in time to welcome the evening's speaker.
Introduce to President.
Ensure they are set up for any PowerPoint presentation they have with them - ask if they have a USB to use (IT duty person will take over setting up IT equipment).
Confirm that talk should be about 20 minutes with 10 minutes for questions.
Provide with drink from bar (Club pays for this).
Help guest socialise with members once set up.
Sit with guest for the meeting at the top table.
Introduce the speaker to the club with brevity.
If you have looked them up on Dr Google before the meeting make sure you have the right person.
 
 
 
 
 
Thanking Speaker
Time:
After Speaker
 
 
Duty:
Thank speaker and present with small token of appreciation (if there is one).
 
 
How:
Obtain thank you gift from Sergeant.
Thanks should be extremely brief and ask the club to show its appreciation.
 
 
 
Our Rotary World
Time:
During Meeting 
 
 
Duty:
A short speech or presentation with a focus on a Rotary Subject - particularly District or International
5-6 Minutes on how Rotary contributes outside of out immediate club which our club members may not know about.  – RI website is good place to go for research. (Happy for you to include a Power Point of short Video if needed). Club president happy to assist and advise as needed.
 
 
How:
The topic may be requested from the president. If technology is needed it is important this is arranged and setup prior to meeting.
 
 
 
Kitchen Duty
Time:
Follows regular meeting.
 
 
Duty:
Wash and dry bar glassware.
 
 
How:
Tables should clear glassware into kitchen.
Clear tables of crockery so caterer can wash.
Hand wash glasses and packed into boxes and return to back cupboard.
  
Materials:
Provided in kitchen
  
Locking up:
Leave with those on equipment
