Presidents Notes

Great news we are back at Level 2 as we head towards our Christmas break.
The key differences to the previous level 2 restrictions are limits on gatherings.
Indoors, such as in hospitality settings or event venues, the maximum number of people allowed is now 50. Outdoors, it is 100 – and records must be kept of attendees at both indoor and outdoor events.
The revised Level 2 guidelines open’s opportunities for our Club Christmas Gathering on 9th December and our proposed twice monthly friendly forum catch ups, our first to be held next Thursday 5.30pm at the Good Union (outdoor bar area) for those who can make it.
 
A big thanks to Linda Roil for her update on Kids in Need Waikato.
Director Bronwen Byers has volunteered to liaise with Linda on behalf of our Club and has included information on how we can assist this year.
 Linda and Graeme would love for us to get involved, and either volunteer, donate, or do a bit of Christmas shopping to the value of $20 - $50.
Should you be able to physically assist, details are listed below, or otherwise visit https://www.kidsinneed.co.nz/  to donate or for ideas on what to purchase.
For the older children, appropriate gift vouchers would be much appreciated.

THIS WEEK'S NOTICES

        
            An urgent request from Santa Claus
                                                                        Kids in Need Waikato
 
Following from our meeting last night with Linda Roil, Founder of Kids in Need Waikato, I took the opportunity to visit Linda to discuss how Rotary might be able to help ease her workload this Christmas.
Santa would very much like volunteers to achieve bringing joy and excitement to Kids in Need over this coming Christmas. We are looking for kind volunteers available now. It is a wonderful way of making Christmas just that much better for children who are experiencing hardship.
What Kids in Need Waikato requires is:
  • Rotarians (partners included) to put their names forward as soon as possible.
  • Confirmation that they have room either a dry garage, or spare room.
  • Time to wrap presents, we anticipate that one volunteer will wrap for four (4) families, and this may range from 2-10 presents in total.
  • Either volunteers choose to supply wrapping paper, or to accept that given by Linda when she delivers the bags of unwrapped presents, with the names of each child on the front.
  • The presents will then be wrapped by the volunteer/s and returned to the bags provided, these will then be stored safely, in a dry place within the volunteer/s residence until just prior to Christmas Day.
  • Each volunteer will then have the wonderful advantage of delivering the presents they wrapped to the individual children. The children all live in Hamilton, there are sixty families. This is a fantastic way to share in the excitement and thrill of the children as they accept their presents, all wrapped beautifully in Christmas paper.
  • We ask that those who deliver presents wear a Father Christmas hat and maybe a beard, to make it festive for the children. Lets’ keep Santa Claus alive, especially for the ‘little ies.’
  • Along with the children’s presents will be a pack consisting of wrapped presents (Linda will organise the wrapping of these) for the grandparents/guardians and these will be handed out at the same time.
It would be appreciated if those who volunteer would contact Linda Roil at 'Kids in Need Waikato' either by email or phone to advise  name, address and phone number, so that the bags of gifts for wrapping can be distributed.

Rotary meeting notes 18 November 2021
 
32 members joined the Zoom meeting for our regular Rotary fortnightly meeting.
 
Sergeant Ted welcomed the group and proceeded to tell us a story about the trials and tribulations of establishing a Waikato railway line back in the early days. This involved workers building the line and encountering a sit-down protest by a number of the local Maori which disrupted proceedings. However building continued, but sleepers and rails were duly deposited into the adjacent river by the protesters. The police were summoned,  prisoners were escorted away and appeared in court the next day. Nothing more came of the prosecution. In the end all was forgiven and contractors and Maori sat down and broke bread together. Building of the railway continued but was never completed to the original plan.
 
President Ian then welcomed us. He reiterated that our Rotary meetings would continue on Zoom until Level 1 or equivalent. No meeting next week, but there would be an informal gathering at the Good Union outdoor area at 5.30 next Thursday for those that wished to attend.
 
He introduced our guest speaker Linda from Kids in Need. She reported a very busy time leading up to Christmas this year. There are many families in need and she has travelled as far as Taumarunui to provide support.
To date 778 packs have been prepared for families. There are 400 children on her Xmas list, and this number is rising quickly, which is up on last year.
Donations are needed which can be made through the website, and there is money and goods being donated. Families are very grateful for the support they receive.
Linda has a shed at her place which is full. She is wanting more storage for donated goods, and for these to be wrapped and delivered. Linda has invited Cambridge Rotary members to visit the shed and see the Kids in Need operation. This may become one of the club’s visits next year.
President Ian thanked Linda for the work and providing happiness to many families.

President Ian reiterated the 9930 Vaccine policy which states that there is no requirement to ask for members’ vax status. Rotary Cambridge is looking at how this can be appropriately managed once we are back to on-site meetings.
 
Notices:
Ken Leatham-Firewood. A working bee is planned for 9am this Saturday morning at David and Anne Blewden’s place. Anne did provide a sumptuous morning tea.
Bev Maul-Rogers-Xmas Puddings. 6 still available, first in, first served. Contact Bev.
 
David Blewden-Adventure Club. A reminder that the next planned event is the picnic at the Karapiro Domain on Saturday 4 December. Meet at the Avantidrome and cycle out to Karapiro to enjoy a BYO picnic. Non cyclists are welcome to join in.
 
Carey Church-Garden Festival. There have been lots of refunds to manage for Carey and Bev Heron. $10500 of refunds have been asked for to date. The garden owners will go and view each other’s gardens on Sunday.
 
Bronwen Byers-Movie night. This has been postponed until next year-probably February.
 
John Bishop-Xmas Function. It is planned to have this at Ian and Liz Grant’s place on 9 December. Bring along a $10 gift to be distributed by Santa at the function. Invitation pending.
Roger Gordon-75th Publication. Look out for this next week.
 
Mark Hanlon-Urban Miners. Operating again at Level 2. Two more collections planned this year. 5 December at Te Awamutu and 19 December in Cambridge.
 
Bill Robinson reported that his District Governor training is continuing on Zoom and not over the ditch as planned.
 
Bev Heron reported that the computer financial package is being upgraded next week. Check your next invoice and contact Bev if this doesn’t look correct.
 
President Ian closed the meeting at 6.35.
 
 
75th Anniversary Cambridge Rotary
 
Our new date to celebrate 75th Anniversary of Cambridge Rotary is Thursday 17 February 2022. As previously planned we will be at Te Awa Life Care .Please keep the date free am sure it will be third time lucky. The 75th Anniversary lift out will be published next week - special thanks to Roger Gordan and his team
 
Rotary Christmas Party 2021 -
 
We will have our annual Christmas Party at Ian Grants property on Thursday 9 December.2021. Our festive Christmas buffet is being catered by Gourmet Delicious and will cost $55 per head. Please bring your own plates and cutlery. Please bring your own glasses and liquid refreshment. Father Christmas is also very likely to visit so please also bring a gift to value of $10. Girls bring girls gift and boys a boys gift.
This will be a private outdoor gathering. The majority of the club are double vaxed. If you have not completed your double vaccination - please ensure you have a negative covid test in the 72 hours leading into our Christmas function. Kick off will be 5 pm.

Club Meetings 
Attendance Duty
Time:
5.20pm in time to welcome people as they arrive at venue – currently at Cambridge High Staff room
 
 
Duty:
Welcome members and visitors alike.
 
 
How:
Record attendance and apologies on attendance sheet.
Complete name cards for all visitors to wear and record names.
Record make ups and receive attendance cards.
Provide attendance cards to visiting Rotarians. Charge $23.50 for meal unless guest of a member.
Encourage members to buy raffle tickets.
Give President list of all visitors including member’s partners and visiting Rotarians. 
Prepare summary of attendance numbers.
Hand attendance sheet to treasurer for charging of meals.
 
 
Materials:
 
Members Badges stored in cupboard meeting venue.
Raffle tickets and cash box stored in cupboard. Key to cupboard in top left pigeon hole at rear of staff room.
Attendance sheet received from attendance officer any time after midday on Wednesday.

Time:

Welcome members and visitors alike.
 
 
How:
Stand by the entrance and greet everyone as they arrive (a great way to learn members’ names).
Introduce any visitor to the President if possible (he/she may be otherwise engaged).
Introduce the speaker to the person rostered to introduce them later in the evening. You will need to know who the speaker is and who is introducing them.
Introduce other visitors to one or more members and ask them to host the visitor for the evening.
 
 
Materials:
A handshake and a welcoming smile.
 
 
 
 
Equipment Duty 
Time:
5.15pm in time to set up before regular meeting.
Plus after the close of the meeting
 
 
Duty:
Set up attendance table.
  
How:
Place name badges so members can recover them as they arrive.
Arrange placemats on each table. Put out plates, utensils, etc on end of bench to left of servery.
Set up lectern and join 2 tables to create a top table. Data projector turned on by remote in draw and HDMI cable ready for speaker’s computer.
Place sergeant’s paraphernalia on top table (shrapnel box, fines box, raffle numbers, bell and hammer). Microphone to be placed by lectern.
Turn on sound system in right cupboard, turn on 3 power switches.
Place Presidents paraphernalia on top table (chain of office).
Place blind banner by top table behind lectern.
After the meeting return all equipment, including name badge box where you found it in cupboard. Venue should be left as it was found.

Turn as many lights off as possible, turn off heating.
Locking up:
Last one out lock bollards and shut outside door
 
 
Bar Duty
Time:

Set up bar - sell drinks - clear up afterwards. 
 
 
How:
Key to Bar fridge is in top left pigeon hole.
Glassware in cupboards out back by pigeon holes, only in right cupboard.
Display name of Duty Manager and licence
Serve at bar before meeting from 5.30pm.
Serve members after business sessions and before meal.
Place empty bottles in recycling bins.
Return unused and part used bottles to fridge. Reds to cupboard out back
 
 
Materials:
 
Glassware (wineglasses) 
Locking up:
Return any unused drinks to fridge or cupboard and lock fridge.
 
 
 
Speaker Introduction
Time:
Before meeting.
 
 
Duty:
Welcome speaker - introduce to President and Club.
 
 
How:
Be in time to welcome the evening's speaker.
Introduce to President.
Ensure they are set up for any PowerPoint presentation they have with them - ask if they have a USB to use (IT duty person will take over setting up IT equipment).
Confirm that talk should be about 20 minutes with 10 minutes for questions.
Provide with drink from bar (Club pays for this).
Help guest socialise with members once set up.
Sit with guest for the meeting at the top table.
Introduce the speaker to the club with brevity.
If you have looked them up on Dr Google before the meeting make sure you have the right person.

Duty:
Thank speaker and present with small token of appreciation (if there is one).
 
 
How:
Obtain thank you gift from Sergeant.
Thanks should be extremely brief and ask the club to show its appreciation.

Duty:
A short speech or presentation with a focus on a Rotary Subject - particularly District or International
5-6 Minutes on how Rotary contributes outside of out immediate club which our club members may not know about.  – RI website is good place to go for research. (Happy for you to include a Power Point of short Video if needed). Club president happy to assist and advise as needed.
 
 
How:
The topic may be requested from the president. If technology is needed it is important this is arranged and setup prior to meeting.
 
 
 
Kitchen Duty
Time:
Follows regular meeting.
 
 
Duty:
Wash and dry bar glassware.
 
 
How:
Tables should clear glassware into kitchen.
Clear tables of crockery so caterer can wash.
Hand wash glasses and packed into boxes and return to back cupboard.
  
Materials:
Provided in kitchen
  
Locking up:
Leave with those on equipment
