Presidents Notes
 
 
Great turn out for our Club Forum last Thursday, ranging between 27–32 members online, with robust discussions on the future direction for Rotary.
 
Our very own past DG Ted Masson took the floor with a historical talk on his past experiences in District 9930 and his memoirs running Putaruru Rotary, then finishing with thoughts on future initiatives for our Cambridge club.
 
Much of the subject matter covered in the meeting is in the text below, all of which will be accessed by your board members, before any decisions are made, or recommendation made back to the club.
Thank you for your participation, and the wide-ranging views as discussed during that meeting.
 
Seems “I am World Famous in Cambridge” with my photo and changeover notes finally in the Cambridge News. No doubt an opportunity to receive a large fine by Sgt Ted. One point of interest, the writer noted that I had served in “Northern India” this should have read Northern Ireland, but I would hazard a guess having visited the Himalayan Mountains some years ago, its near enough?
 
I took a quick show of hands and sent an email to District on club meetings back at Cambridge High School. Although District are encouraging of clubs getting back to face to face meetings, many of our members would seem keen to wait until the Prime Minister’s announcement on Monday before committing - so with that news we will continue with a Zoom Meeting next week.
 
Our guest speaker next week (thanks to David Partis) is Matt McCleod from the Henderson Rotary Club. Matt is incoming District Governor for District 9910 and will talk us though how his Club set up a Rotalite and a Satellite Club in Helensville. This subject being completely relevant to last week’s Club Forum.
 
‘A point of note’ the following week Thursday 14th October I intend where possible, to get our club back into to face to face to face meetings (even should we remain at Level 2). We simply “in my opinion” can’t continue to keep ourselves locked way and we need to find a new way forward. With luck we go to Level One, but regardless my intent as President was not to lead the club from behind a computer screen and I will do everything I can to get us back together, safely, and responsibly so we can move forward into the new normal.

THIS WEEK'S NOTICES

Notes – 30 September 2021
 
The meeting was opened by Sergeant Ted Mason who congratulated President Ian Grant for his newspaper publicity  However, he expressed some chagrin at discovering that President Ian grew up not in Scotland but in Masterton.
 
President Ian welcomed 27 members to the Zoom meeting on a wet but lighter evening.
 
The open forum style of the meeting may make this a milestone week, said President Ian, and asked members to speak freely and fully on what changes, if any, should be made to improve the way the Club worked and attract new members. He promised that changes would be made only if members so decided but not otherwise.
 
Sergeant Ted Mason presented his thoughts on the future of Rotary Cambridge. He referred to the last two talks we had been given on the topic of change and noted that there had been a 15% drop in membership since 2015. Having previously a member of Putararu Rotary, Ted recalled that a crisis meeting was needed there when membership suddenly dropped.
Putararu Club asked a local businesswoman to become President and join Rotary. The Club then changed to one breakfast and one dinner meeting monthly. This resulted in increased membership and a reactivation of the Club. The lesson is that “you can do it another way if you have to”.
There is no reason why we should stick to four meetings a month when the means of personal communication are so different from when Rotary was founded.
Ted said that he saw the future membrship as 50/50 men and women and we must encourage more females to join.
 
President Ian invited members to speak and the following points were raised together with a number of suggestions on future activities and projects.

  • We should ask prospective members why they did not join.
  • Exit surveys of those leaving Rotary would be useful.
  • Morning meetings are a distinct possibility and popular with women.
  • Weekly meetings are enjoyable but there is merit in fewer meetings.
  • Breakfast meetings have failed because they impinged on working hours.
  • Large membership of Rotarians writing cheques for charitable causes no longer works.
  • Cambridge is very dynamic with a nice buzz around town, but Rotary has low profile.
  • We should have projects which resonate with young people and women.
  • Diversity does not relate just to men and women.
  • We enjoy our own company but need better PR.
  • In the 17 weeks prior to lockdown, absenteeism was around 20%.
  • Reducing the cost of dinners may help attendance.
  • The recent membership evening was somewhat overpowering.
  • In most families, both parents work and have no spare time at the end of their business day.
  • Our target age group has to be 50+.
  • We could benefit from a brainstorming session, possibly run by an outside expert, to get everyone’s ideas and put them into a constructive format.
  • Better to have a one main project rather than dabble in minor ones. Mental Health was suggested.
  • Noted that there are 88 Lions but only 58 Rotarians in Cambridge.
  • Observed that the Lions Club appears to be divided between members and workers.
  • Rotary needs to differentiate itself and must be seen by others as a worthwhile organisation.
  • Is it better to have quantity or quality? Financial income from new membership is not ideal.
  • Covid is our communities biggest threat. Should not Rotary be involved on a national basis?
  • A speaker on Satallite Clubs is available. These could attract business men and women in younger age groups.
  • The frequency and number of meetings seems to be the problem.
  • Our Club is not ‘broken’ and care is needed not to change just for the sake of changing.
 
President Ian said that the Board would review all comments and include all members in further discussions before, of if, any changes are to be made.
 
President Ian concluded the meeting by taking a poll. This revealed that roughly half the members present [then about 23] were in favour of returning to normal meetings so we will probably continue with Zoom meetings.

I'VE BEEN ROSTERED A DUTY- WHAT DO I DO?

 
 
 
 
Club Meetings 
Attendance Duty
Time:
5.20pm in time to welcome people as they arrive at venue – currently at Cambridge High Staff room
 
 
Duty:
Welcome members and visitors alike.
 
 
How:
Record attendance and apologies on attendance sheet.
Complete name cards for all visitors to wear and record names.
Record make ups and receive attendance cards.
Provide attendance cards to visiting Rotarians. Charge $23.50 for meal unless guest of a member.
Encourage members to buy raffle tickets.
Give President list of all visitors including member’s partners and visiting Rotarians. 
Prepare summary of attendance numbers.
Hand attendance sheet to treasurer for charging of meals.
 
 
Materials:
 
Members Badges stored in cupboard meeting venue.
Raffle tickets and cash box stored in cupboard. Key to cupboard in top left pigeon hole at rear of staff room.
Attendance sheet received from attendance officer any time after midday on Wednesday. 
 
 
 
 
Welcome Duty
Time:
5.20pm in time to welcome people as they arrive.
 
 
Duty:
Welcome members and visitors alike.
 
 
How:
Stand by the entrance and greet everyone as they arrive (a great way to learn members’ names).
Introduce any visitor to the President if possible (he/she may be otherwise engaged).
Introduce the speaker to the person rostered to introduce them later in the evening. You will need to know who the speaker is and who is introducing them.
Introduce other visitors to one or more members and ask them to host the visitor for the evening.
 
 
Materials:
A handshake and a welcoming smile.
 
 
 
 
Equipment Duty 
Time:
5.15pm in time to set up before regular meeting.
Plus after the close of the meeting
 
 
Duty:
Set up attendance table.
  
How:
Place name badges so members can recover them as they arrive.
Arrange placemats on each table. Put out plates, utensils, etc on end of bench to left of servery.
Set up lectern and join 2 tables to create a top table. Data projector turned on by remote in draw and HDMI cable ready for speaker’s computer.
Place sergeant’s paraphernalia on top table (shrapnel box, fines box, raffle numbers, bell and hammer). Microphone to be placed by lectern.
Turn on sound system in right cupboard, turn on 3 power switches.
Place Presidents paraphernalia on top table (chain of office).
Place blind banner by top table behind lectern.
After the meeting return all equipment, including name badge box where you found it in cupboard. Venue should be left as it was found.

Dinner plates, utensils
 
 
Turn as many lights off as possible, turn off heating.
Locking up:
Last one out lock bollards and shut outside door
 
 
Bar Duty
Time:
5-5.15pm in time to assist with set up before regular meeting.
 
 
Duty:
Set up bar - sell drinks - clear up afterwards. 
 
 
How:
Key to Bar fridge is in top left pigeon hole.
Glassware in cupboards out back by pigeon holes, only in right cupboard.
Display name of Duty Manager and licence
Serve at bar before meeting from 5.30pm.
Serve members after business sessions and before meal.
Place empty bottles in recycling bins.
Return unused and part used bottles to fridge. Reds to cupboard out back
 
 
Materials:
 
Glassware (wineglasses) 
Locking up:
Return any unused drinks to fridge or cupboard and lock fridge.
 
 
 
Speaker Introduction
Time:
Before meeting.
 
 
Duty:
Welcome speaker - introduce to President and Club.
 
 
How:
Be in time to welcome the evening's speaker.
Introduce to President.
Ensure they are set up for any PowerPoint presentation they have with them - ask if they have a USB to use (IT duty person will take over setting up IT equipment).
Confirm that talk should be about 20 minutes with 10 minutes for questions.
Provide with drink from bar (Club pays for this).
Help guest socialise with members once set up.
Sit with guest for the meeting at the top table.
Introduce the speaker to the club with brevity.
If you have looked them up on Dr Google before the meeting make sure you have the right person.
 
 
 
 
 
Thanking Speaker

After Speaker
 
 
Duty:
Thank speaker and present with small token of appreciation (if there is one).
 
 
How:
Obtain thank you gift from Sergeant.
Thanks should be extremely brief and ask the club to show its appreciation.
 
 
 
Our Rotary World
Time:
During Meeting 
 
 
Duty:
A short speech or presentation with a focus on a Rotary Subject - particularly District or International
5-6 Minutes on how Rotary contributes outside of out immediate club which our club members may not know about.  – RI website is good place to go for research. (Happy for you to include a Power Point of short Video if needed). Club president happy to assist and advise as needed.
 
 
How:
The topic may be requested from the president. If technology is needed it is important this is arranged and setup prior to meeting.
 
 
 
Kitchen Duty
Time:
Follows regular meeting.
 
 
Duty:
Wash and dry bar glassware.
 
 
How:
Tables should clear glassware into kitchen.
Clear tables of crockery so caterer can wash.
Hand wash glasses and packed into boxes and return to back cupboard.
  
Materials:
Provided in kitchen
  
Locking up:
Leave with those on equipment
