FROM PRESIDENT IAN

 
Thanks to everyone who attended this week’s meeting, and for giving me the opportunity to update our club on the year ahead. Thanks also to our directors and their committees for the work contributed over the last 6 months and into 2022. We have much to look forward too, and I encourage all to support this year’s projects where you can.
 
Our 75th celebrations only a few weeks away, followed shortly after with BookaRama and other missed opportunities carried over from last year. Opportunities also for catching up on last year’s fund raising and fellowship events, with a focus on DG Ross Pinkham’s Health and Wellbeing incentive into 2022.
 
As communicated a slight change to our weekly meeting format (see notes below) this to allow new initiatives led by you, your directors, and your committees. We all look forward to seeing what develops each month as we Do More to Grow More and work towards new members into the club.
 
Please don’t forget to register online for District Conference and to re- confirm attendance at our 75th Anniversary Celebrations. President Elect John Bishop is keen to confirm numbers by the end of next week.
 
Look forward to seeing you all at CHS next week.

About 30 members came to order when Sergeant Ted Mason rang the bell, dealt with a dead rabbit and introduced President Ian.
 
After ‘launching’ the new name badges, President Ian revealed that he was, in retirement, gaining new laundry skills but maintaining the Cambridge traditions regarding wallets.
 
He reminded everyone of International President Shekhar Mehta’s messages including – Each One Bring One. He also spoke on National and District objectives.
 
President Ian outlined changes to our meetings and gained approval for -
                       
1st Week - Formal Club meeting with a guest speaker.
 
2nd Week - Committee Meeting Night.
 
3rd Week - Formal Club meeting with a guest speaker.
 
4th Week – Formal meeting lead by Directors and their committees in Rotation. Varied activities and not necessarily at CHS as event may be off site. To be advised.
 
5th week months - no meeting these weeks and should assist member costs.
 
David Partis (Club Services) – Severely restricted by Covid rules. Looking at Taste Waikato; Satellite Club; Truck Signage and other possible projects.
 
Alan van Niekerk (Youth) – Seeking a replacement for the Kite Flying Day, a Covid casualty. Talking to youth and other organizations about well-being, leadership, debating etc. Road signs being refurbished.
 
Nigel Salter (Community Services) – Heart Federation collection cancelled by Covid but Blood Bank activities are continuing. A park bench at Lake Karapiro is a possibility. The Cycle Group is going well and will feature in a list of well-being activity's for District.
 
Andrew Bateman (Vocational Services) - Again severely curtailed by Covid requirements. May revitalize the President’s Breakfast idea.
 
After Sergeant Ted tried to make up for lost ground (ie. lack of fines during Zoom) by extracting money from everyone without an e-car and other misdemeanours, John Bishop confirmed the date and arrangements for the 75th Anniversary Dinner.
 
Treasurer Bev told us that donations have been made to, among others, the Cambridge Marae Christmas Dinner, a Cambridge Social & Community function, and Achievement House’s Christmas Presents Project.
 
Mark (Urban Miners) – 13.5 tons of e-waste have been dispatched as well as items to the Lions’ Shed for recycling and 600 kilos each of wiring and metal. Tuition in dismantling heat pumps and PCs is now available. The new trailer has been delivered and will be suitable inscribed. It is multi-functional.
 
David Blewden announced that Conference will include an address on Urban Miners. Also that there will be “specially sedate” activities in March and that all details are on the website.
 
After Bill Robinson reinforced the need for growth in membership, President Ian closed the meeting.
 
Electronic Communications
 
It’s great that so many of our members have the ability and want to communicate with
each other electronically.
 
But as with every organisation there must be controls about the use of official club
media: ClubRunner and our Website.
 
ClubRunner
 
Is the official method of communicating with all of our members and should only be
used with the President’s permission.
This is easily obtained by sending the President a copy of the proposed email and asking for her/his okay to send it.
This is also just good manners and common sense, so the President knows what’s going on in his/her club at any time and is not blindsided by something.
 
On some occasions the President may wish to consult the Board and/or others before agreeing or declining the request.
 
Please understand this does not affect your ability to communicate as you choose under your own name without the club’s permission.
The difference is that one has the status of an official club communication, while the other is a personal one.
 
The Board has no concerns regarding recent communications using ClubRunner but has observed that the protocol/curtesy of asking the President first has not always been followed and would appreciate it if it was in future.
 
Club Website
Some years ago, the Board agreed the Club Website required careful management and established the role of Club Web Master.
Our current Web Master is:

Rather than posting your own articles/updates to the website these need to be sent to our Web Master so he/she can properly manage our site.
This is an even more public portal than ClubRunner emails and even more important that it be well managed and shows our club off at its best.
And again it is common curtesy that the owner of the site has overview/control of what is published on the site.
 
Recent activity on the site resulted in the loss of some information which was not easily recovered so please respect the club and use the services of our Web Master.
He does an excellent job.

I'VE BEEN ROSTERED A DUTY- WHAT DO I DO?

 
 
 
 
Club Meetings 
Attendance Duty
Time:
5.20pm in time to welcome people as they arrive at venue – currently at Cambridge High Staff room
 
 
Duty:
Welcome members and visitors alike.
 
 
How:
Record attendance and apologies on attendance sheet.
Complete name cards for all visitors to wear and record names.
Record make ups and receive attendance cards.
Provide attendance cards to visiting Rotarians. Charge $23.50 for meal unless guest of a member.
Encourage members to buy raffle tickets.
Give President list of all visitors including member’s partners and visiting Rotarians. 
Prepare summary of attendance numbers.
Hand attendance sheet to treasurer for charging of meals.
 
 
Materials:
 
Members Badges stored in cupboard meeting venue.
Raffle tickets and cash box stored in cupboard. Key to cupboard in top left pigeon hole at rear of staff room.
Attendance sheet received from attendance officer any time after midday on Wednesday. 
 
 
 
 
Welcome Duty
Time:
5.20pm in time to welcome people as they arrive.
 
 
Duty:
Welcome members and visitors alike.
 
 
How:
Stand by the entrance and greet everyone as they arrive (a great way to learn members’ names).
Introduce any visitor to the President if possible (he/she may be otherwise engaged).
Introduce the speaker to the person rostered to introduce them later in the evening. You will need to know who the speaker is and who is introducing them.
Introduce other visitors to one or more members and ask them to host the visitor for the evening.
 
 
Materials:
A handshake and a welcoming smile.
 
 
 
 
Equipment Duty 
Time:
5.15pm in time to set up before regular meeting.
Plus after the close of the meeting
 
 
Duty:
Set up attendance table.
  
How:
Place name badges so members can recover them as they arrive.
Arrange placemats on each table. Put out plates, utensils, etc on end of bench to left of servery.
Set up lectern and join 2 tables to create a top table. Data projector turned on by remote in draw and HDMI cable ready for speaker’s computer.
Place sergeant’s paraphernalia on top table (shrapnel box, fines box, raffle numbers, bell and hammer). Microphone to be placed by lectern.
Turn on sound system in right cupboard, turn on 3 power switches.
Place Presidents paraphernalia on top table (chain of office).
Place blind banner by top table behind lectern.
After the meeting return all equipment, including name badge box where you found it in cupboard. Venue should be left as it was found.

Turn as many lights off as possible, turn off heating.
Locking up:
Last one out lock bollards and shut outside door
 
 
Bar Duty
Time:
5-5.15pm in time to assist with set up before regular meeting.
 
 
Duty:
Set up bar - sell drinks - clear up afterwards. 
 
 
How:
Key to Bar fridge is in top left pigeon hole.
Glassware in cupboards out back by pigeon holes, only in right cupboard.
Display name of Duty Manager and licence
Serve at bar before meeting from 5.30pm.
Serve members after business sessions and before meal.
Place empty bottles in recycling bins.
Return unused and part used bottles to fridge. Reds to cupboard out back
 
 
Materials:
 
Glassware (wineglasses) 
Locking up:
Return any unused drinks to fridge or cupboard and lock fridge.
 
 
 
Speaker Introduction
Time:
Before meeting.
 
 
Duty:
Welcome speaker - introduce to President and Club.
 
 
How:
Be in time to welcome the evening's speaker.
Introduce to President.
Ensure they are set up for any PowerPoint presentation they have with them - ask if they have a USB to use (IT duty person will take over setting up IT equipment).
Confirm that talk should be about 20 minutes with 10 minutes for questions.
Provide with drink from bar (Club pays for this).
Help guest socialise with members once set up.
Sit with guest for the meeting at the top table.
Introduce the speaker to the club with brevity.
If you have looked them up on Dr Google before the meeting make sure you have the right person.
 
 
 
 
 
Thanking Speaker
Time:
After Speaker
 
 
Duty:
Thank speaker and present with small token of appreciation (if there is one).
 
 
How:
Obtain thank you gift from Sergeant.
Thanks should be extremely brief and ask the club to show its appreciation.
 
 
 
Our Rotary World
Time:
During Meeting 
 
 
Duty:
A short speech or presentation with a focus on a Rotary Subject - particularly District or International
5-6 Minutes on how Rotary contributes outside of out immediate club which our club members may not know about.  – RI website is good place to go for research. (Happy for you to include a Power Point of short Video if needed). Club president happy to assist and advise as needed.
 
 
How:
The topic may be requested from the president. If technology is needed it is important this is arranged and setup prior to meeting.
 
 
 
Kitchen Duty
Time:
Follows regular meeting.
 
 
Duty:
Wash and dry bar glassware.
 
 
How:
Tables should clear glassware into kitchen.
Clear tables of crockery so caterer can wash.
Hand wash glasses and packed into boxes and return to back cupboard.
  
Materials:
Provided in kitchen
  
Locking up:
Leave with those on equipment
