FROM PRESIDENT BEV

Committee meetings
Good outcomes from the committee meetings held on Thursday (see reporting back notes below).
 
Grants 2020/21: Thanks to Bev Heron for all the work associated around the Grants programme.  I believe good decisions were made by the Grants Committee which were approved by the Board. The outcome appeared to be well received by the Club on Thursday. In total we awarded $57,787.  This included to 12 of the 21 organisations who made application, to Rotary projects, other considerations and those payments and donations already paid or committed.  The Sunshine Fund Grants are also included in the total awarded.
 
Taking into account a difficult year due to COVID-19 when there were many “unknowns” and we were limited in what we were able to do in terms of event fundraising I believe this is a very good outcome and shows that we are active in the community and supporting worthy causes. 
 
Charity Dinner: The Project Review of the Charity Dinner has been completed and has been submitted to the Board for consideration on Tuesday.  Pet Refuge will receive $18,600 (60%) from the profit made.  A very good outcome and the club is to be congratulated on the evening’s success.
 
 
Days for Girls: Great milestone this month for the Days for Girls sewing group – they achieved completion of a total of 5,000 shields since they started sewing.  That means they have contributed 2,500 kits plus the liners they sewed. This dedicated group sourced from about 20 women and lead by Anne Blewden meet each month on a Wednesday and Thursday. Not all are associated with Rotary but everyone is keen to contribute to the welfare of Pacific Island women and girls.  Well done and thank you to this dedicated group of women.
 
 
Gaslight Theatre – Thursday, 19 June
Looking forward to another great social night out – 6pm for 6.20pm (seated).  Don’t forget to let Bev Heron know which main course you’d prefer.
 
Club meeting – 24 June
We are inviting the representatives of those who received grants to come along for the beginning of the meeting so we can celebrate with them.  Should be a good night and we have some other highlights that night.
 
Changeover – 1 July
The organizing team have been working hard and we can anticipate an enjoyable evening.  Remember this year we will be at Te Awa – lovely venue and meal.
 

THIS WEEK'S NOTICES

Acting Sergeant Brian Palmer opened the meeting by noting that On This Day, Bridget Bishop was hung as a Salem witch and wondered if she was one of John Bishop’s ancestors. With no such suggestion regarding our President he introduced Beverley Maul-Rogers.

President Bev welcomed Ken Leatham back; complimented the Quiz Team on leading until the final round said it was great to see such a good turnout [of 34 members and 2 guests].

Finance - Treasurer Bev Heron gave a presentation on the Grants allocation for 20/21.

  •     We have not obtained as much money as usual because of Covid restrictions, she reported, but the Board had been able to support some usual charities as well as other deserving causes.
  •     Full details will be in the financial statements at the end of the year.

Community – David Partis

  • Continuing with Raceway marshalling and Bloodbank duties.
  • Waiting for Council advice on the siting of the 75th Anniversary Park Bench.
  • The Truck Sign Idea is progressing.
  • Cyclists Vests is now a District project
  • The Pinnacles Event was rained off.
  • Rotorua Mountain Ride scheduled for 17 July 2021 and Mt. Te Aroha climb & spa will be on 4 September 2021. Monthly events thereafter are listed on the website.
  • Daffodil Day being organised by Gretchen Bosacker.
  • A request for announcer/timekeeper for Cambridge Netball was politely declined.

Club Service – John Tarbutt

  •  Changeover will be on 1 July 2021 at Te Awa.
  • Bar stocks need to be properly secured after each meeting.
  • Licensing is being followed up by Ray Milner.
  • The Board will consider privacy issues particularly relating to social media publications.

International – Ken Leatham

  • Nothing to be reported at the moment.

Vocational – Robyn Crickett (for Jan Bilton)

  • It has been a great year which will end on 29 June 2021.

New Generations/Youth – John Bullick

  • RYLA successfully held for our 2 applicants. Bill Robinson leads.
  • Interact although no initial interest at CHS, efforts there and at St. Peter’s are continuing.
  • Science & Technology Forum had excellent feedback and CHS approached for further involvement.
  • Schools’ Speech Competition will be on 21 September 2021. Murray Feast, David Blewden and Lyndsay Mason will be the judges.
  • Secondary Schools’ Debate is being organised. President Bev will donate the Keith Rogers Memorial Trophy.
  • Innovative Young Minds has not elicited any interest so far in encouraging young women from senior schools into science, technology, engineering, mathematics and high-end manufacturing careers.
  • RYPEN - we provided the funds and transport for two students from CHS to attend a camp at Lakewood Lodge, Glen Murray on 14-16 May 2021.
  • Youth Driving Acadamy requires no action at present.
  • New Member Event was successfully held on 6 May 2021. Two new members have already been accepted with more to follow. This is to be an annual event and we will build on our experience.
  • Outward Bound Course will have our candidate as one of only two accepted from the District. It is largely sponsored and we have contributed the shortfall of $324 

Urban Miners – Mark Hanlon

  • Two collections last month, at CHS and in Te Awamutu, collected $6,000 worth of e-waste
  • A total of 2 tonnes of e-waste has gone to our recycling companies
  • Labour costs in dismantling computers and the overall viability of the project are being calculated

 

Acting Sergeant Brian, having failed to deny Bev Heron the Sunshine Fund Box, fared better in his session of extracting fines.

 

Chris Smiley gave a knowledgeable and instructive Did You Know about dementia. He told us how to identify the warning signs and what to do to challenge its possible onset. Lots of useful hints including keeping an eye on alcohol consumption. “An alcoholic”, he reminded us, “is someone who drinks more than his doctor” A suggestion from the floor was to keep changing doctors!

President Bev congratulated Sean Brady for his part in Hamilton Civic Choir’s recent performance of Carmina Burana as well as Gretchen Bosacker on gaining her Residents’ Visa. She also hoped that prospective members Rollo Webb and Roger Dudfield had enjoyed the meeting. There followed a ‘commercial break’ to advertise the musical comedy Addams Family being staged by CHS.

The meeting was closed by President Bev with a reminder of the theatre dinner next week.

I'VE BEEN ROSTERED A DUTY- WHAT DO I DO?

 
Club Meetings 
Attendance Duty
Time:
5.20pm in time to welcome people as they arrive at venue – currently at Cambridge High Staff room
 
 
Duty:
Welcome members and visitors alike.
 
 
How:
Record attendance and apologies on attendance sheet.
Complete name cards for all visitors to wear and record names.
Record make ups and receive attendance cards.
Provide attendance cards to visiting Rotarians. Charge $23.50 for meal unless guest of a member.
Encourage members to buy raffle tickets.
Give President list of all visitors including member’s partners and visiting Rotarians. 
Prepare summary of attendance numbers.
Hand attendance sheet to treasurer for charging of meals.
 
 
Materials:
 
Members Badges stored in cupboard meeting venue.
Raffle tickets and cash box stored in cupboard. Key to cupboard in top left pigeon hole at rear of staff room.
Attendance sheet received from attendance officer any time after midday on Wednesday. 
 
 
 
 
Welcome Duty
Time:
5.20pm in time to welcome people as they arrive.
 
 
Duty:
Welcome members and visitors alike.
 
 
How:
Stand by the entrance and greet everyone as they arrive (a great way to learn members’ names).
Introduce any visitor to the President if possible (he/she may be otherwise engaged).
Introduce the speaker to the person rostered to introduce them later in the evening. You will need to know who the speaker is and who is introducing them.
Introduce other visitors to one or more members and ask them to host the visitor for the evening.
 
 
Materials:
A handshake and a welcoming smile.
 
 
 
 
Equipment Duty 
Time:
5.15pm in time to set up before regular meeting.
Plus after the close of the meeting
 
 
Duty:
Set up attendance table.
  
How:
Place name badges so members can recover them as they arrive.
Arrange placemats on each table. Put out plates, utensils, etc on end of bench to left of servery.
Set up lectern and join 2 tables to create a top table. Data projector turned on by remote in draw and HDMI cable ready for speaker’s computer.
Place sergeant’s paraphernalia on top table (shrapnel box, fines box, raffle numbers, bell and hammer). Microphone to be placed by lectern.
Turn on sound system in right cupboard, turn on 3 power switches.
Place Presidents paraphernalia on top table (chain of office).
Place blind banner by top table behind lectern.
After the meeting return all equipment, including name badge box where you found it in cupboard. Venue should be left as it was found.

Turn as many lights off as possible, turn off heating.
Locking up:
Last one out lock bollards and shut outside door
 
 
Bar Duty
Time:
5-5.15pm in time to assist with set up before regular meeting.
 
 
Duty:
Set up bar - sell drinks - clear up afterwards.
 
 
How:
Key to Bar fridge is in top left pigeon hole.
Glassware in cupboards out back by pigeon holes, only in right cupboard.
Serve at bar before meeting from 5.30pm.
Serve members after business sessions and before meal.
Place empty bottles in recycling bins.
Return unused and part used bottles to fridge.
 
 
Materials:
 
Glassware (wineglasses) 
Locking up:
Return any unused drinks to fridge or cupboard and lock fridge.
 
 
 
Speaker Introduction
Time:
Before meeting.
 
 
Duty:
Welcome speaker - introduce to President and Club.
 
 
How:
Be in time to welcome the evening's speaker.
Introduce to President.
Ensure they are set up for any PowerPoint presentation they have with them - ask if they have a USB to use (IT duty person will take over setting up IT equipment).
Confirm that talk should be about 20 minutes with 10 minutes for questions.
Provide with drink from bar (Club pays for this).
Help guest socialise with members once set up.
Sit with guest for the meeting at the top table.
Introduce the speaker to the club with brevity.
If you have looked them up on Dr Google before the meeting make sure you have the right person.
 
 
 
 
 
Thanking Speaker

After Speaker
 
 
Duty:
Thank speaker and present with small token of appreciation (if there is one).
 
 
How:
Obtain thank you gift from Sergeant.
Thanks should be extremely brief and ask the club to show its appreciation.
 
 
 
Did you know …
Time:
During Meeting (most likely at end)
 
 
Duty:
3 minutes to talk to the club on a Rotary topic – or other general topic that you know of and is interesting and/or informative. Something that you know about or have experienced – something unique if possible. Please keep this talk positive.
 
 
How:
While “Did you know ……” comment is the choice of the individual member, it is important to remember: 
Article 16 Community, National, and International affairs
Section 1 — Proper Subjects. The merits of any public question involving the general welfare of the community, the nation, and the world are of concern to the members of this club and shall be proper subjects of fair and informed study and discussion at a club meeting for the enlightenment of its members in forming their individual opinions. 
However, this club shall not express an opinion on any pending controversial public measure.
Section 2 — No Endorsements. This club shall not endorse or recommend any candidate for public office and shall not discuss at any club meeting the merits or demerits of any such candidate.
Section 3 — Non-Political.
(a) Resolutions and Opinions. This club shall neither adopt nor circulate resolutions or opinions and shall not take action dealing with world affairs or international policies of a political nature.
(b) Appeals. This club shall not direct appeals to clubs, peoples, or governments, or circulate letters, speeches, or proposed plans for the solution of specific international problems of a political nature.
 
 
 
Kitchen Duty
Time:
Follows regular meeting.
 
 
Duty:
Wash and dry bar glassware.
 
 
How:
Tables should clear glassware into kitchen.
Clear tables of crockery so caterer can wash.
Hand wash glasses and packed into boxes and return to back cupboard.

Provided in kitchen
  
Locking up:
Leave with those on equipment
